We know our T&Cs are long and dry, sorry about that!

 

They exist for one simple reason: to keep everyone safe, clear and on the same page so you can relax and enjoy the creative bit. Running workshops means juggling materials, space, people, timings and a lot of moving parts - so the boring stuff helps the fun stuff run smoothly. Thanks for sticking with it.
 

These Terms and Conditions ("Terms") govern the use of the services provided by Artidote Creative (referred to as “Artidote,” “we,” “us,” or “our”), including but not limited to art workshops, parties and events, online and in-person, and the sale of art supplies, artwork, and merchandise. By accessing our website or participating in any services or events, you agree to be bound by these Terms. Please read them carefully.


1. Introduction

Welcome to Artidote Creative. By accessing our website, booking a session, purchasing any products or services, or otherwise engaging with Artidote Creative, you (“user”, “you”, “your”) agree to comply with and be bound by these Terms and Conditions, along with any other applicable policies referenced herein, including but not limited to our Privacy Policy.

We reserve the right to amend, modify, or update these Terms at any time, and such changes will become effective upon posting on our website. It is your responsibility to review these Terms periodically for any updates. Your continued use of our services after changes to these Terms constitutes acceptance of those changes. If you do not agree to these Terms, please do not use our services or website.

These Terms apply to all users, including but not limited to visitors, customers, and participants in workshops or events, both public and private.


2. Definitions

For the purposes of these Terms, the following definitions apply:

  • “Artidote”: Refers to Artidote Creative, its employees, contractors, and any representatives acting on its behalf.

  • “Workshop” “Event” or “Session”: Any class, event, workshop or experience, whether public or private, organised by Artidote where art instruction, materials, or creative services are provided.

  • “Private Session”: A workshop or event booked exclusively for private groups, subject to bespoke terms.

  • “Public Session”: A workshop or event open to the general public, subject to standard booking terms.

  • “You” or “User”: Any individual or entity accessing, interacting with, or purchasing from Artidote, whether through the website or in person.

  • “Website”: Refers to our official website at www.artidote.com including all subpages and any content posted there.

  • “Products”: Any physical items sold by Artidote, including but not limited to art supplies, artwork, and merchandise.


3. Eligibility and Age Restrictions

You must be at least 18 years old to book or attend a workshop unless otherwise specified in the session description. For certain sessions, including family workshops, attendees under the age of 18 may be allowed if they are accompanied by a parent or guardian who assumes full responsibility for the minor's participation.

Please note that certain sessions may have different age restrictions. These will be clearly stated on the booking page for the relevant event.


4. Workshop and Event Bookings


4.1 Public Sessions

Bookings for public sessions are made via our website and are subject to availability. Full payment is required at the time of booking unless stated otherwise. Once your booking is confirmed, you will receive an email confirmation with the details of your session.

Please ensure that all booking information provided (such as the date and time of the workshop) is accurate. Artidote  is not responsible for errors made during the booking process, including but not limited to incorrect workshop dates or personal information.


4.2 Private Sessions

For private sessions, a non-refundable deposit of 50% of the total booking fee is required to secure the reservation. The balance must be paid in full no later than seven (7) days before the scheduled event. Private session details, including special requests, add-ons, or bespoke services, must be agreed upon in writing at the time of booking. Changes to a private session booking (such as rescheduling or participant count adjustments) are subject to availability and additional fees, as outlined in these Terms.

Artidote reserves the right to cancel or reschedule any session (public or private) under circumstances that render it impossible or impractical to proceed, including but not limited to, staff illness, insufficient participant numbers, or force majeure events. In such cases, affected participants will be offered an alternative date or a full refund, at our discretion.
 

5. Payment Terms

All payments must be made at the time of booking unless expressly stated otherwise. Artidote accepts major debit and credit cards, processed securely via our payment gateway. 


5.1 Public Sessions

Full payment is required at the time of booking for all public sessions. Your booking is not confirmed until payment has been successfully processed. We reserve the right to cancel or refuse bookings in cases of payment failure, suspected fraud, or if we believe the transaction is in breach of these Terms.


5.2 Private Sessions

For private sessions, a 50% non-refundable deposit is required to secure the booking. The remaining balance is due seven (7) days prior to the event. Failure to make the final payment by this deadline may result in cancellation of the session without refund.


5.3 Pricing Errors

While we make every effort to ensure that all pricing on our website is accurate, occasionally errors may occur. If we discover a pricing error after your booking, we will notify you as soon as possible. In such cases, you will have the option to either cancel your booking and receive a full refund or proceed with the booking at the correct price. We reserve the right to cancel any bookings affected by pricing errors.


5.4 E-Commerce Product Delivery and Refunds

For purchases of art supplies, artwork, or merchandise made through our website:

  • Delivery: All purchased products will be processed and dispatched within 3-4 working days of the order being placed. Delivery times may vary based on your location, but we strive to ensure timely delivery of all orders. If there are any delays, we will notify you via email.

  • Shipping Costs: Shipping costs are calculated at checkout, and both free delivery and paid delivery options may be available depending on the specific product and location.

  • Returns and refunds - In the unlikely event that a product is defective or damaged upon arrival, please contact us within 14 days of receiving the product to arrange for a replacement or refund. Buyers are responsible for return shipping (unless the product is damaged or faulty). Where a return is requested and the product is not damaged or faulty, the original postage fee will be deducted from the refund. in compliance with UK consumer laws.

  • Bespoke and personalised items are not eligible for a refund.

  • Exchanges: We do not offer exchanges for products. If a product arrives damaged or incorrect, you may request a replacement.

  • Lost or Delayed Orders: On rare occasions things get delayed or lost, Artidote will work with the delivery service to resolve the issue as quickly as possible to ensure you receive your order.


6. Pricing and Taxes

All prices listed on our website or provided by our representatives are in British Pounds. Artidote reserves the right to adjust prices at any time without prior notice, including but not limited to correcting typographical errors or reflecting changes in tax rates or material costs.

Discounts, promotions, and special offers are subject to availability and may be withdrawn or modified at any time. Promotional codes or offers cannot be combined with other discounts unless explicitly stated. Any offer or discount code must be applied at the time of booking and cannot be applied retrospectively.


7. Cancellation and Refund Policy


7.1 Public Sessions

Refunds are available if the cancellation is more than 7 days prior to the session. Please note, the processing providers service fee will be deducted from the refund. 

 

Rescheduling is permitted under the following conditions:

  • You may reschedule a public workshop up to seventy-two (72) hours before the session's start time, subject to availability.

  • Drop-in sessions (non-structured art experiences) may be rescheduled up to twenty-four (24) hours before the scheduled start time.

No refunds for no-shows.


7.2 Private Sessions

Creative workshops require materials prep, studio setup and holding the date exclusively for your event.

A 50% deposit is required at the time of booking to secure your session. Your date is not confirmed until payment has been received. Balance payment required 15 days prior to the session. Payment in full is required if the booking falls within 15 days of the session.

Cancellations by You:

  • 14+days before the session = a full refund (minus processing providers service fee) or reschedule.

  • 13-7 days before the session = 75% refund of the total cost or reschedule.

  • 3-6 days before the session = 50% refund of the total cost or reschedule. 

  • 0-2 days before the session = No refund. Rescheduling available but dates not guaranteed.

  • If a session is cancelled late and materials have been purchased or prepared, Artidote may charge an additional materials cost.

 

7.3 Company Events

Corporate bookings involve more planning, materials, staffing, and customisation. 

A 50% deposit is required at the time of booking to secure your session. Your date is not confirmed until payment has been received. Balance payment required 14 days prior to the session. Payment in full is required if the booking falls within 14 days of the session.

 

Cancellations by Company

  • 14+ days before the session = a full refund (minus processing providers service fee) or reschedule.

  • 7-13 days before the session = Deposit becomes non-refundable. You can reschedule once for free.  

  • 0-6 days before the session = Full fee is due. Rescheduling may be possible but not guaranteed. An additional £50 administration fee applies to reschedule.

  • If a session is cancelled late and materials have been purchased or prepared, Artidote may charge an additional materials cost.

 

  • Company Cancellation by Artidote

  • If we need to cancel (exceptionally rare) you will receive a full refund of all payments plus priority re-booking.

  • We will also offer a 10% discount on the rescheduled session as goodwill


8. Transfers and Name Changes

If someone else wants to attend in your place that’s absolutely find, just let us know 24 hours before.


9. Late Arrivals

Sessions must start and finish on time.

Late arrival does not extend the session duration.


10. Right to Cancel or Reschedule Public Sessions by Artidote

Artidote reserves the right to cancel or reschedule any session for the following reasons:

  • Minimum Participant Requirement: If a public workshop does not meet the minimum participant requirement, we reserve the right to cancel or reschedule the session. In such cases, we will notify all affected participants at least forty-eight (48) hours before the scheduled start time. Participants will have the option to either reschedule to a future date or receive a full refund.

  • Staffing Issues: In the event that a session cannot be run due to unforeseen staffing issues (eg illness, emergency), Artidote reserves the right to reschedule the session. We will notify all participants as soon as possible, offering them the choice of rescheduling or receiving a full refund.

  • Artidote will not be liable for any indirect costs or expenses (eg travel, accommodation, lost wages) incurred by participants in the event of a cancellation or rescheduling. We encourage participants to keep this in mind when making travel arrangements.

 

11. Force Majeure

In the event that Artidote is unable to provide a workshop or service due to circumstances beyond our control (eg natural disasters, strikes, government restrictions, or pandemics), we reserve the right to cancel the session. In such cases, affected participants will be offered an alternative date or credit.


12. Conduct and Behaviour

Artidote is committed to providing a safe, welcoming, and respectful environment for all participants. By attending our sessions, you agree to behave in a manner that is respectful to staff, other participants, and the venue.

  • Respect Towards Staff and Participants: Attendees must conduct themselves with respect and courtesy. Any disruptive, abusive, or inappropriate behaviour towards staff or other attendees will result in immediate expulsion from the session, without a refund.

  • Intoxication: Participants who appear intoxicated or cause a disturbance will be asked to leave the premises immediately. No refunds or rescheduling will be granted to participants who are removed from a session due to intoxication or disruptive behaviour.

  • Damage to Property: Participants are responsible for any damage they cause to Artidote’s property, the venue, or any third-party property used during the session. Artidote reserves the right to seek compensation for any damages caused by reckless or inappropriate behaviour.

By attending a session, you agree to follow all instructions given by the staff and to comply with the venue’s rules.


13. Use of Art Materials and Equipment

Participants in Artidote workshops are provided with all necessary materials and equipment to complete their creative projects. While we take care to ensure that all materials are safe for use, participants are responsible for using these materials and equipment appropriately.

  • Damage or Loss: Any loss, damage, or misuse of the provided art materials or equipment caused by the participant will be their responsibility, and Artidote reserves the right to seek compensation for such damage. This includes damage to easels, canvases, brushes, paints, or any other supplies used during the session.

  • Injury from Materials: Artidote takes every precaution to ensure that our materials and supplies are safe for participant use. However, Artidote cannot be held responsible for injuries resulting from misuse or improper handling of materials by participants. Participants are encouraged to follow staff instructions carefully when using unfamiliar materials.


14. Artwork Collection and Storage Policy

Participants are welcome to take home their completed artwork at the end of each session. In cases where artwork cannot be collected on the day of the session (e.g., drying time required for certain mediums), Artidote offers short-term storage of completed pieces under the following terms:

  • Collection Window: Participants must collect their artwork within seven (7) days of the session unless otherwise agreed in advance. After this period, we reserve the right to dispose of or repurpose the artwork without further notice.

  • Storage Fees: A small storage fee of £3 per item will apply for artwork stored beyond seven (7) days. This fee covers the cost of maintaining a safe storage environment.

  • Liability: Artidote will not be held responsible for any damage or loss to artwork left for collection. While we take reasonable precautions to protect stored artwork, participants leave their pieces at their own risk.

  • Unclaimed Artwork: If artwork is not collected within fourteen (14) days, Artidote reserves the right to dispose of, up-cycle, or sell the unclaimed artwork without compensation to the participant.


15. Health and Safety

The health and safety of our participants and staff are of utmost importance. Artidote adheres to all UK health and safety regulations to ensure a safe environment during all workshops and events.

  • First Aid: First-aid trained staff will not be on site during sessions. In the event of an injury or medical emergency, staff will assist where possible and call the emergency services if appropriate. 

  • Participant Responsibility: While Artidote provides a safe environment and clear instructions on the use of materials, participants are responsible for their own well-being and the safe use of any materials or equipment provided.

  • Injuries: Artidote is not liable for injuries sustained as a result of participant negligence, failure to follow instructions, or improper use of materials. By attending a session, you agree to assume all risk of injury or damage.

  • COVID-19 Precautions: In compliance with public health guidance, Artidote may implement additional safety measures (e.g., face masks, social distancing). Participants are expected to follow these protocols, and failure to do so may result in removal from the session without refund.


16. Food and Drink Policy - BYOB Policy

At Artidote, we don’t sell or serve alcohol. However, guests are welcome to Bring Your Own Bottle for private sessions and selected adult workshops. To keep everyone safe, comfortable and within the law, the following rules apply:

16.1 Age Requirement

  • BYOB is strictly for guests aged 18+.

  • We may ask for ID if anyone looks under 25.

16.2 What You Can Bring

  • Beer, cider, wine, prosecco, or pre-mixed canned drinks.

  • No spirits, cocktails, or hard liquor.

  • No drinks that require mixing or serving by us.

  • Bottle openers and a limited supply of glasses should be available please check before your session. 

16.3 Responsible Drinking

  • Guests are expected to drink responsibly.

  • Excessive drinking, disruptive behaviour, or anything that affects the safety or enjoyment of others will result in removal from the session with no refund.

  • We may stop alcohol consumption at any time if we feel it is unsafe.

16.4 Food and Allergies

  • Light snacks are welcome

  • Please avoid, strong smelling foods or anything containing common allergens like nuts unless the whole group has agreed.  

16.5 Leaving the Studio

  • If you plan to drink, please arrange safe travel home.

  • We reserve the right to refuse BYOB to anyone we believe is already under the influence upon arrival.

16.6 Groups & Private Bookings

  • Hosts are responsible for ensuring their group follows this policy.

  • For corporate sessions, BYOB must be approved in advance.

16.7 Zero-Tolerance for Underage Drinking

  • Anyone found providing alcohol to an under-18 will be removed from the session immediately.

17. Children’s Policy

17.1General Age Restrictions

Participants must be 18 years or older to attend workshops involving alcohol consumption unless otherwise stated (e.g., "Family Friendly" events). For all other workshops, children under 14 must be accompanied by a responsible adult.


17.2 Parental Supervision

Parents or guardians are responsible for the supervision and behaviour of their children during workshops. Artidote will not be liable for injuries, damage to property, or disruptions caused by minors. Adults supervising children must ensure that they comply with all health and safety guidelines.

 

18 Digital Gift Vouchers

  • Gift vouchers are non-refundable and are valid for 1 year from the date of issue. 

  • Gift vouchers are delivered via email and are not a physical product.

  • Gift vouchers are only redeemable on public session tickets and payments towards private events. They cannot be redeemed for cash or used to purchase another gift voucher or any online or in-studio product purchases.

  • Gift vouchers cannot be purchased using a promotional discount or coupon codes. 

19. Liability Disclaimer


19.1 General Disclaimer

Artidote and its affiliates, employees, and agents shall not be liable for any direct, indirect, incidental or consequential damages, including but not limited to injury, damage to personal property, or financial loss arising from participation in workshops, events, or use of the website, to the fullest extent permitted by law.


19.2 Limitation of Liability

In any event, Artidote’s total liability to you shall not exceed the total fees paid for participation in the relevant workshop or event. We do not exclude or limit our liability for death or personal injury arising from our negligence or for fraud or fraudulent misrepresentation, but by accepting these terms, you agree to the limitation of liability for all other types of claims, damages, or losses.


19.3 Indemnification

You agree to indemnify and hold harmless Artidote, its employees, agents, and affiliates from any and all claims, damages, losses, liabilities, and costs, including but not limited to legal fees, arising from your breach of these Terms, your participation in any workshop or event, or your use of the website.


20. Intellectual Property Rights


20.1 Ownership of Content

All content on the Artidote website, including but not limited to images, text, graphics, logos, videos, and software, is the property of Artidote or its licensors and is protected by copyright, trademark, and other intellectual property laws. You may not reproduce, distribute, modify, or use any of the content on the website for commercial purposes without express written consent from Artidote.


20.2 Participant Artworks

By participating in any workshop, participants retain full ownership of their completed artwork. However, Artidote reserves the right to photograph, display or use completed works for promotional purposes, unless otherwise agreed with the participant.


20.3 Prohibited Use

You agree not to use the website, workshops, or any materials provided by Artidote for any illegal or unauthorised purposes. Unauthorised use of our intellectual property, including reproduction or commercial exploitation without prior written consent, is strictly prohibited.


21. Privacy and Data Protection

Artidote is committed to protecting your privacy and complying with the UK’s Data Protection Act 2018 and the General Data Protection Regulation (GDPR).


21.1 Data Collection

When you book a workshop, purchase products, or use our website, we collect personal information such as your name, contact details, and payment information. This data is used solely for processing transactions, managing bookings, and providing you with a personalised experience.


21.2 Data Use

We will not share your personal data with third parties except where it is necessary to complete your booking (ie payment processors) or where required by law. You may receive marketing communications from us if you have opted in, but you have the right to opt out at any time.


21.3 Data Security

We implement appropriate security measures to protect your personal data from unauthorised access, use or disclosure. However, no internet-based service is completely secure, and by using our services, you accept the inherent risks associated with data transmission.

22. Photography and Media Release


22.1 Event Photography

Artidote reserves the right to photograph and record workshops for promotional, marketing, or internal purposes. By participating in a workshop, you grant Artidote permission to use your image, likeness, and any photographs or videos taken during the session, without compensation, for promotional purposes.


22.2 Opt-Out

If you do not wish to be photographed or recorded during a session, it is your responsibility to inform the staff in advance of the session. While we will make reasonable efforts to accommodate your request, Artidote cannot guarantee that your image will not appear in group shots or background footage.


23. Pets Policy

Well-behaved dogs are welcome at Artidote workshops, provided they do not disrupt the session or other participants. 

  • Owners are responsible for the conduct and care of their pets during the workshop and must ensure that their pets do not cause any damage to the studio or equipment.

  • If a dog is causing a disturbance or poses a safety risk, we reserve the right to ask the owner to remove it from the premises immediately. No refunds will be given in such cases.


24. Accessibility

Artidote is committed to providing an inclusive environment for all participants. Our venue is wheelchair accessible, and we strive to accommodate individuals with disabilities. If you have any specific access requirements, please notify us in advance so we can make appropriate arrangements.


25. Governing Law and Jurisdiction

These Terms and Conditions, and any disputes arising from or related to them, shall be governed by and construed in accordance with the laws of England and Wales.

You agree that any disputes arising out of or related to these Terms, including any contract or tort claims, shall be subject to the exclusive jurisdiction of the courts of England and Wales.


26. Severability

If any provision of these Terms is found to be unlawful, void or for any reason unenforceable, that provision shall be deemed severable from the rest of the Terms and shall not affect the validity and enforceability of any remaining provisions. The parties agree to replace any unlawful or unenforceable provision with a valid, enforceable provision that achieves, to the greatest extent possible, the intended effect of the original provision.


27. Complaints Procedure

If you have any complaints or concerns regarding your experience with Artidote, please contact us at hello@artidote.co.uk We will make every effort to respond to all complaints within three (3) working days and aim to resolve any issues as quickly and efficiently as possible.


28. Entire Agreement

These Terms and Conditions, along with any referenced policies (such as our Privacy Policy), constitute the entire agreement between you and Artidote regarding the use of our services, website, and participation in our workshops. Any prior agreements, communications, or understandings (whether oral or written) are superseded by these Terms.


No failure or delay by Artidote to exercise any right or remedy provided under these Terms shall be deemed a waiver of that right or remedy, nor shall it preclude or restrict any further exercise of that right or remedy.
